Website Privacy Policy

1. Scope

This policy describes how Advanced Dental ("we," "us") handles information collected through the adentalcloud.com marketing website and the demo request form, and the account information needed to run an evaluation demo. The demo is pre-loaded with synthetic sample data and must not contain real patient information. This is a website privacy policy for practices evaluating our product; it is not a healthcare provider's Notice of Privacy Practices, and it does not cover any separate agreement for production use of the product.

2. Information you provide

3. Information collected automatically

4. Bot protection (Cloudflare Turnstile)

To keep automated abuse away from the demo request form we use Cloudflare Turnstile, a verification service that distinguishes people from bots without showing image puzzles. When the check runs, your browser completes it with Cloudflare, which processes limited technical signals (such as your IP address and characteristics of your browser and device) to decide whether the request looks human. Turnstile is designed by Cloudflare to work without tracking your browsing across other sites. Our server then confirms the check's outcome with Cloudflare and may include your IP address in that confirmation. We receive the verification outcome — not your browsing history.

5. How we use information

We use the information above to provision and operate your demo, send you the sign-in link, respond to your inquiry, keep the request pipeline safe (rate limiting and bot protection), record the acceptance and consent choices you made, send you product updates only if you opted in, understand which campaigns bring practices to us, and improve the product. We do not sell your personal information.

6. Cookies & local storage

The marketing site sets no advertising or cross-site tracking cookies by default. We use essential first-party browser storage only: to keep you signed in, to remember that you acknowledged this notice, and to save interface preferences such as your workspace, dashboard, and chart layout in the application. Your theme and dark-mode preference are saved to your account (server-side) via your authenticated preferences, not in browser storage. If we ever add analytics, we will update this policy first.

7. Marketing communications and your consent

Product news and tips are sent only if you checked the separate, optional marketing box on the demo request form — requesting a demo does not by itself opt you in. Emails needed to deliver your demo (such as the sign-in link) are sent regardless, because they are how the demo works. You can withdraw marketing consent at any time using the unsubscribe link in each marketing email or by contacting us; we keep a record of when consent was given and withdrawn.

8. Service providers

We use a small number of service providers to operate the website and demo — for bot protection (Cloudflare Turnstile, described above) and for infrastructure and email delivery — and they process information only as needed to provide their service to us. We do not sell your personal information to anyone, and we do not share it with third parties for their own advertising.

9. Data retention

Demo tenants and their contents are temporary and may be reset or removed at any time. We retain demo-request records — including consent and acceptance records — only as long as needed for the purposes in this policy. You can ask us to delete your information at any time (section 11).

10. Security

We use technical and organizational measures appropriate to a demo evaluation service: access to stored information is limited, passwords are stored only in protected (hashed) form, and the public request pipeline is protected by rate limiting and bot verification. No method of transmission or storage is perfectly secure, which is one more reason the demo must never contain real patient information.

11. Your choices and rights

You can unsubscribe from marketing email at any time via the link in each message or by contacting us. You can ask us to access, correct, or delete the information we hold about your demo request by emailing support@adentalcloud.com. Depending on where you live, applicable law may give you additional rights; we honor valid requests as the law requires.

12. Not for children; no real patient data

The website and demo are intended for dental practices and their teams, not for children, and we do not knowingly collect information from children. The demo's sample "patients" are synthetic; real patient information — about adults or children — must never be entered into it.

13. Changes to this policy; contact

If we change this policy, we will post the updated version here with a new "Last updated" date; material changes will be reflected before they take effect. Questions: support@adentalcloud.com.
